Job Purpose

Career counseling service

The role holder will provide dedicated administrative and operational support to the Financial Advisor (FA) network, including advisor records management, onboarding and licensing documentation, commission administration support, production reporting and recruitment tracking. The role ensures accurate, timely and well-organised administrative support that enables the effective functioning and growth of the FA network, in line with Britam Life Uganda’s retail distribution strategy.

Key Responsibilities

  • Maintain accurate and up-to-date records, contracts and databases for all Financial Advisors (FAs) in the network, ensuring data integrity and ease of retrieval for management reporting.
  • Coordinate the onboarding of new Financial Advisors, including collection and processing of onboarding documentation, contracts and COP/IRA licensing requirements.
  • Track and follow up on FA licensing and certification renewals to ensure the network remains fully licensed and compliant with regulatory requirements at all times.
  • Generate accurate and timely production, activity and management reports on FA network performance to support decision-making by the Business Development Manager and senior management.
  • Track recruitment and activation pipelines for new Financial Advisors, working closely with the Sales Recruitment & Training Officer to monitor progress against agreed targets.
  • Support commission administration processes, including verification of advisor production data and liaison with Finance to ensure accurate and timely commission computation and payment.
  • Coordinate FA network meetings, training sessions and events, including scheduling, logistics, preparation of materials and minute-taking.
  • Provide first-line administrative support to Financial Advisors and branch sales teams, responding to routine queries and escalating complex issues to the Business Development Manager as appropriate.
  • Maintain organised filing and document management systems, both physical and digital, for all FA network administrative records, ensuring audit readiness at all times.
  • Support the Business Development Manager in monitoring advisor persistency, productivity and retention, flagging areas of concern for timely follow-up.
  • Liaise with Finance, Underwriting and Operations on FA network administrative matters, including premium processing, policy servicing and documentation requirements.
  • Assist in preparing dashboards, presentations and management updates on FA network performance and recruitment progress as required.
  • Perform any other administrative duties as assigned in support of the Business Development function.

  • Diploma or bachelor’s degree in business administration, Human Resource Management or a related field
  • Demonstrated proficiency in Microsoft Word, Excel and PowerPoint; experience with HR/insurance administration or CRM systems is an added advantage
  • 2–3 years’ experience in an administrative, sales support or operations role, preferably within financial services or insurance
  • Strong organisational, record-keeping and data management skills, with high attention to detail
  • Experience supporting a sales, agency or financial advisor network is an added advantage
