Purpose of the Job
To manage the provision of day-to-day administrative functions in the Office of the Vice Chancellor to ensure smooth functioning of the University.
Person Specifications
1) Master of Arts in Management and Administration or related Field
2) Bachelor of Administrative and Secretarial Studies or Secretarial Studies from a recognized University.
3) Experience of not less than six (6) years working experience, three of which must have been served at the level of an Administrative Secretary or Personal Secretary in a reputable Institution
Duties and responsibilities
a. Organizing, assembles and keeps custody of confidential documents and reports to and from the Office of the Vice Chancellor.
b. Drawing up and monitoring programs, activities and appointments for the Vice Chancellor.
c. Taking dictation, transcribing and presenting error-free work.
d. Organizing meetings, taking minutes and conveying decisions of such meetings to the relevant offices/officers
e. Composing/ drafting correspondence/reports for the Vice Chancellor’s signature
f. Updating and following up delegated tasks to ensure progress and adherence to deadlines.
g. Maintaining calendar; fixing commitments and ascertains events that require Vice Chancellor’s presence to maximize time efficiency and allow decision/desk time.
h. Scheduling visits away from the Vice Chancellor’s Office to protect priority/private tasks.
i. Liaising with the Senior Communications Officer to prepare media and press briefings for the Vice Chancellor.
j. Serving as a liaison between students, staff and campuses/faculties, and the Office of the Vice Chancellor.
k. Preparing, submitting and defending work plans and budgets for the Office of the Vice Chancellor.
l. Requiting and accounting for the resources and performance of the staff of the Vice Chancellor’s Office.

i Safety of confidential documents and reports ensured.
ii Programs, activities and appointments for the Vice-Chancellor drawn.
iii Error-free work presented.
iv Meetings organised, minutes taken, and decisions conveyed to relevant offices/officers
v Drafts correspondence and reports composed for the Vice Chancellor’s signature
vi Correspondence/reports drafted for the Vice Chancellor.
vii Vice Chancellor’s calendar, appointments and engagements managed.
viiiMedia and press briefings for the Vice Chancellor coordinated.
ix Matters involving students, staff and campuses/faculties, and the Office of the Vice Chancellor well-coordinated.
x Work plans and budgets for the Office of the Vice Chancellor prepared, submitted and defended.
xi Resources and performance of the staff of the Vice Chancellor’s Office accounted for.
