About the client:
Our client is a Farm that cultivates approximately 500 acres focusing on cereals and grains, with 15 permanent staff and 50–300 seasonal casual laborers depending on the farming period
Job Purpose
The Book Keeper / Data Entry Officer will support the farm’s financial and operational systems by maintaining accurate financial records, performing day-to-day bookkeeping tasks under the guidance of the Accountant, and ensuring proper management of inventory and operational data. The role is critical in ensuring financial accountability and reliable data for decision-making.
Key Responsibilities
- Maintaining accurate financial books in line with guidance provided by the Accountant. This includes recording daily financial transactions such as payments, receipts, expenses, and petty cash movements, as well as updating cashbooks, ledgers, and expense records.
- The officer will support the preparation of basic financial summaries and reports and ensure all financial documents and supporting receipts are properly filed and organized.
- Manage data entry related to farm operations, particularly inventory management. This involves entering and updating records for farm inputs such as seeds, fertilizers, pesticides, feeds, equipment, tools, harvest outputs, and stock movement.
- Maintain accurate digital records of purchases, usage, and stock balances, and support the identification and reporting of inventory discrepancies.
- The role requires regular use of Microsoft Office and Google applications. The officer will use Microsoft Excel and Google Sheets to track financial data, inventory records, and operational information, and will manage digital documentation through shared systems such as Google Drive.
- Prepare basic data summaries and reports as required by management.
- Maintain a well-organized documentation and filing system for both financial and operational records, ensuring that all documents are easily retrievable.
- Support the digitization of manual records and assist the Accountant during audits and financial reviews by providing accurate and timely data. Compliance with financial procedures and internal control systems is expected at all times.
- Given the nature of farm operations, the officer will work closely with field and operations staff to collect and update data and must be comfortable working on-site in a rural environment.
Minimum Requirements
The ideal candidate should hold a Diploma or Degree in Accounting, Finance, Business Administration, Procurement and Logistics, or a related field.
At least 2-3 years of experience in bookkeeping, data entry, and inventory records management.
Key Technical Skills
- Sound basic bookkeeping and accounting knowledge, strong proficiency in Microsoft Excel, Microsoft Word, and Google Sheets.
- Ability to handle large volumes of data with accuracy.
- A good understanding of inventory tracking and record management systems is required.
Behavioral Competencies
The role requires a high level of attention to detail, strong numerical ability, integrity, and respect for confidentiality. The candidate should be organized, systematic, able to work independently, and possess good communication skills.
The successful candidate must be comfortable living and working in a rural farm environment.
