Position Overview

Greenwatch is seeking a highly organized and proactive Administrator / Operations Manager to serve as the operational backbone of our organization. This role ensures the smooth running of day-to-day activities, supports program delivery, manages office and financial administration, and enables our team to focus on mission-driven work. The ideal candidate is resourceful, detail-oriented, and thrives in a dynamic, purpose-driven environment.

Key Responsibilities

Operational Management

  • Oversee daily office operations, including supplies, IT coordination, and facilities.
  • Develop and streamline operational systems, procedures, and policies.
  • Serve as the primary contact for vendors, service providers, and landlords.
  • Ensure a safe, functional, and productive workplace for staff and volunteers.

Financial & Administrative Support

  • Assist with bookkeeping, budget tracking, expense reporting, and invoice processing.
  • Support grant administration and reporting by compiling operational and financial data.
  • Manage relationships with banks, auditors, and financial service providers.
  • Maintain accurate filing systems for contracts, legal documents, and operational records.

Program & Event Support

  • Provide logistical support for campaigns, fieldwork, and community events.
  • Coordinate travel and accommodation for staff and partners.
  • Assist with procurement in line with organizational policies.

HR & Team Support

  • Support onboarding of new hires, including workspace setup and orientation.
  • Manage staff calendars, schedule meetings, and coordinate internal communications.
  • Maintain HR records and policies in compliance with legal requirements.

Compliance & Governance

  • Ensure compliance with laws, regulations, and internal policies.
  • Assist in preparing materials for board meetings and annual reports.
  • Maintain insurance policies and ensure operational licenses are up to date.

Qualifications & Experience

Essential

  • Minimum 3 years’ experience in operations, administration, or office management (non profit/NGO experience preferred).
  • Proficiency in Microsoft 365, Google Workspace, and familiarity with financial software (QuickBooks, Xero).
  • Strong organizational, multitasking, and problem-solving skills.
  • High accuracy and attention to detail in administrative and financial tasks.
  • Ability to work independently and adapt in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • Genuine passion for environmental conservation and sustainability.

Desirable

  • Experience in grant administration or non-profit financial management.
  • Knowledge of health, safety, and data protection regulations.
  • Experience coordinating remote or hybrid teams.
