FLEXIBLE WORKING

We believe flexible working is key to building the Secretariat of the future, so we are open to talking through the type of flexible arrangements which might work for you. We think this role would work particularly well as a fully or partially home-based arrangement, as other members of the OI Governance Team are distributed across several locations.
This role will require availability within working hours that are aligned or significantly overlapping with core working hours in the UK (UTC) and Kenya (UTC +3). It will also occasionally require flexibility to work outside of normal working hours (early mornings/ late evenings).

DEPARTMENT PURPOSE: The Oxfam International Strategy and Feminist Futures department is responsible for the integrity and coherence of Oxfam’s global strategic objectives, approaches and transformative choices into the future. It works to ensure that gender justice and a feminist lens are central to driving Oxfam’s vision, values and identity, both internally and externally. The Department positions the confederation as an inter-dependent and locally rooted network that is grounded in a feminist approach; and contributes thematic expertise, global outlook and feminist thought leadership with a focus on creating synergies between global and organizational strategy, governance, and confederation development.

TEAM PURPOSE: To create a business environment that enables Oxfam International, through transparent and accountable governance leadership and practice, to effectively oversee and steer the confederation’s activities to help Oxfam achieve its mission for the communities it serves.

JOB PURPOSE: The role will complement the Governance Team to manage of the Oxfam International governance cycle and provide effective and efficient support and advice to Oxfam’s global governance components including the Oxfam International Board and their sub-committees. The role will also contribute to projects focussed on strengthening Oxfam International governance.


KEY RESPONSIBILITIES (Technical, Leadership, People and Resource management)
• To ensure the effective functioning of the corporate governance cycle. This post manages, safeguards and communicates the content of the meetings of the OI Board and other components of Oxfam International’s global governance architecture. This post also supports the Head of Governance in their advisory capacity on the general governance of the Foundation.
• To continuously review, innovate and recommend improvements to business flows and the accountability and transparency of the corporate governance cycle.
• To provide excellent customer service on governance issues, as the first point of contact for a range of internal customers (including board members and senior managers), on a wide range of matters relating to corporate governance, the regulatory framework, and Oxfam International’s contractual relationships with external suppliers and customers.
• To support the Head of Governance in ensuring that Oxfam International fulfils its obligations under the legal and regulatory regime and follows best governance practice.
• To be committee clerk and provide excellent and comprehensive support for the committees of the Oxfam International board, ensuring compliance with the regulatory and statutory regime. This role has oversight of governance business flows and directly supports key committees of the Oxfam International board.
• To monitor and evaluate support provided by OI for committees of the OI Board to ensure high quality and coherence, offering suggestions and guidance for improvement.

PRINCIPAL ACCOUNTABILITIES
Management

• To deal effectively with a range of day-to-day enquiries relating to governance and compliance, providing solutions which best meet the needs of Oxfam International and comply with constitutional, legal or regulatory requirements.
• To work with the board and executive management team to develop and implement systems and procedures to ensure that Oxfam International’s governance follows the best practice in the sector and supports the effective running of the organization, working with the OI Chair and OI Executive Director, Head of Governance, OI Director of Strategy and Feminist Futures and other members of the OI Executive or Senior Leadership Team as required.
• To manage the annual committee and meeting cycle of the Oxfam International Board and other components of OI’s global governance architecture (OI Assembly, Affiliate Business Meetings).
• To ensure timely coordination of business flows between committees and boards.
• To facilitate efficient collaboration between the OI Board and Executive Leadership Team.

Communication & Relationships
• To develop and maintain key corporate documents, ensuring governance related guidance and information is updated and available on the website, the intranet and via handbooks to trustees and co-opted committee members, staff and other stakeholders.
• To develop and build effective communication and working relationships with the Board Officers, honorary personnel and senior managers, particularly in relation to matters of governance and responding to enquiries.
• To support the Head of Governance to liaise with external agencies and regulatory bodies on corporate and governance matters.
• Under the direction of the Head of Governance, to liaise with Oxfam’s legal team and solicitors on corporate issues e.g. trademarks and contracts.
• To demonstrate a commitment to customer service, working seamlessly across department or team boundaries in a collaborative and constructive manner to achieve Oxfam’s aims.

General
• To proactively develop and maintain good working relationships.
• To monitor budgets for the team and provide reports as appropriate.
• To work with key stakeholders to develop systems and ways of working which support the governance team, taking a proactive, systematic and organized role in the team as it provides professional service to the confederation.
• To be highly competent on systems work including intranets, with the ability to quickly learn new systems
• To promote equality, inclusion, respect and fairness and where applicable to manage diversity, through an active involvement in implementing our equality and diversity policy.

• Competency in designing and delivering training, inductions and written guides.
• Fluent spoken and written English.

DESIRABLE
• Fluency in French, Spanish or Arabic.
• Ideally have served as an advisor to boards of complex, preferably global organizations.
