JOB DETAILS:
We're excited to expand our dynamic team by seeking a strategic thinker with a passion for leadership and operational excellence. The successful candidate will be based in Uganda and report to the Branch Director with the following specifications: -
Key Responsibilities and Qualifications
Management of the branches
• To plan, organize, direct, control and monitor the performance of the branch’s functions within Uganda for operational and service delivery functions, procurement and transit and risk functions along with commercial aspects of the business
• To proactively co-ordinate with other departments across Uganda
• Maintain relations with suppliers and principals by handling all appropriate matters in the appropriate way
Procurement, Importation and Reception
• Ensure the placement of and organization of orders both local and overseas suppliers in good time to ensure there are no stock shortages. Conducted within stipulated commercial agreements.
• Manage the entire process in relation to all import and export of goods
• Ensure that there is coordination with all clearing and forwarding agents to ensure proper documentation and SLAs are adhered to
• Ensure tracking and follow – up of orders from suppliers confirming stock is received in good time
• Implement where necessary internal controls/ checking during the reception process, to ensure the reception of the goods inside the warehouse as well as onto the systems
• Implement and maintain a supplier dashboard whereby we have objective metrics for both parties’ performance per Lab
Management of Stock
• Ensure stock management, specifically in terms of monitoring expiry dates, reorder levels, outages and coordinate with commercial/marketing teams
• Oversee and coordinate random stock control (both mid-year and end year) and ensure they are carried out in a timely basis
• Functionally manage branches on stock issues to be sure adequate levels of stock at branch level on an ongoing basis
• Oversee the process as well as ensure transportation of the goods to branches is effectively co- ordinated
• Validate the special pricing given to tenders and arrange claims accordingly
• Control of the margin levels and report on distortions
Warehousing
• Ensure goods in the warehouse are properly stored as per Good Distribution practices
• Ensure warehouse operations adhere to relevant security and risks protocols
• Arrange warehouse operations in terms of activity (e.g., productivity, picking locations)
• Define and implement continuity plan in terms of supply chain
Dispatch and Delivery
• Ensure the organization and control of the dispatch and delivery of goods to customers for Uganda
• Ensure efficiency through the synchronization of deliveries with telesales activity, warehouse activity and customers’ needs (on regular, urgent, bulk deliveries)
• Ensure the regular assessment of cost implication related to service rate.
• Work closely with commercial department in order to assess our service rate and implement the necessary actions to improve
Commercial
• Ensure the commercial teams demonstrate best practice for channel and customer management and to push sales and margin growth
• Ensure that commercial targets are set, monitored and reported on. Commercial targets are to be set and incentivized on a quarterly basis
• Liaise with the Branch Director and Chief Accountant for setting pricing, taking due note of any forex changes and impacts in the market
• Remain current and up to date with all dynamics for the market and customer base
• Ensure that credit ceilings are respected and that DSO days are achieved
Good Distribution Practice.
• Conduct audit of suppliers and assessment of the pharmaceutical risk linked to operations
• Implementing standard operating procedures (SOPs), train staff and coordinate with the suppliers in case of adverse events
• For selected quality systems, provide technical knowledge and remediate selected quality gaps as a result of new or revised policies, procedures and guidelines and ensure that practices in the relevant systems are in alignment with SOPs and guidelines
• Development of validation plans and implementing thereof
• Take responsibility for conformity to Good Distribution Practice (GDP) standards in Warehouse & Operations
General
• Together with the executive team contribute to the development and evaluation of pharmaceutical operations strategy for the branches
• Organise pharmaceutical operations processes and synchronize them with other departments
• Ensure the pharmaceutical operations are in line with the organization’s requirements for quality, legal stipulations and environmental policies
• Develop Key Performance Indicators (KPIs) for the pharmaceutical operations and submit regular reports linked to action plans and corrective actions
• Responsible for the developing, reviewing, enhancing and implementing policies and procedures related to Pharma operations

QUALIFICATIONS & EXPERIENCE
• Degree in Operations, Business Administration, Procurement, and a Business-related course
• A Post graduate degree in logistic and supply chain
• Years of experience for this role is 5-9 years’ experience in logistics, Supply chain and operations management
• A keen understanding of financials, strong business acumen, and proven experience in capacity development
• Prior experience within the pharmaceutical industry will be highly beneficial
