Job Purpose:
Our organization is looking for a highly organized, detail-oriented, and resourceful individual to join our team as an Administrator/Office Manager. You will play a pivotal role in overseeing various aspects of our operations, ensuring smooth daily functioning, and contributing to the organization's success.
Specific Skills
- Strong organizational and time management skills.
- Excellent communication, interpersonal, and problem-solving skills.
- Proficient in MS Office Suite (Word, Excel, PowerPoint).
- Experience with financial management software preferred.
- Understanding of Ugandan employment law and regulations.
- Ability to work independently and as part of a team.
- Fluency in English and Luganda, additional language proficiency a plus.
Responsible For
- Provide leadership and guidance to customer relations, inventory, billing, and customer order delivery teams, ensuring efficient workflow and adherence to established procedures.
- Handle escalated customer issues with empathy and a strategic approach, resolving problems effectively and maintaining positive relationships.
- Collaborate with management to develop and maintain department-specific budgets, optimizing resource allocation and controlling expenditures.
- Oversee the accuracy and efficiency of financial reporting systems, ensuring timely and reliable data for informed decision-making.
- Liaise with external auditors for annual financial audits, facilitating compliance and maintaining financial integrity.
- Manage payroll processing and benefits administration accurately and efficiently, ensuring employee satisfaction and compliance with regulations.
- Address employee conflicts proactively and maintain a harmonious work environment through effective communication and conflict resolution strategies.
- Implement performance appraisal systems, providing constructive feedback and supporting employee development.
- Coordinate maintenance activities and repairs to maintain a safe and functional work environment.
- Implement and enforce office security protocols to protect company assets and personnel.
- Manage external communication with stakeholders, responding to inquiries, and building positive relationships.
- Develop and implement public relations strategies to enhance the organization's image and reputation.
- Explore external training opportunities to enhance the skills and knowledge of the workforce.
- Conduct compliance audits and implement risk management strategies to ensure adherence to regulations and mitigate potential risks.
