Our client is a specialized export financing institution established to support Uganda’s exporters through accessible, innovative, affordable and sustainable financial solutions. The institution bridges financing gaps faced by exporters, particularly within the agro-export, manufacturing, and energy sectors, driving Uganda’s economic transformation through trade.
Job Summary
The ideal candidate will provide high-level administrative, executive, and confidential support to the CEO. This role requires a mature, detail-oriented, and discreet professional with strong organizational and interpersonal skills, capable of managing sensitive information, complex schedules, and representing the CEO at key events when necessary.
Duties and Responsibilities
- Manage and coordinate the CEO’s calendar, meetings, travel arrangements, and official engagements.
- Act as the primary liaison between the CEO and internal/external stakeholders, maintaining professionalism and confidentiality at all times.
- Manage the general office reception and administration.
- Coordinate board and other stakeholder meetings as well as managing the office set up, infrastructure and company assets.
- Attend official meetings, conferences, or events on behalf of the CEO when delegated, and provide detailed briefs or reports afterward.
- Prepare, review, and manage confidential correspondence, documents, and presentations on behalf of the CEO.
- Act as the face of office for internal and external stakeholders.
- Coordinate board and management meetings — including scheduling, logistics, agenda preparation, and minute-taking.
- Track and follow up on key action items and strategic commitments to ensure timely execution.
- Maintain both digital and physical filing systems for executive and organizational documents.
- Support internal communication, event organization, and stakeholder engagement initiatives.
- Handle sensitive company information with the utmost discretion and integrity.
- Execute additional tasks as assigned to ensure the CEO’s office operates efficiently.
Experience, Skills and Qualifications
- Bachelor’s degree.
- Minimum 4 years’ experience providing executive-level administrative or personal assistant support in a corporate or financial institution.
- Proven experience managing executive schedules, confidential information, and high-level stakeholder communication.
- Strong organizational, coordination, and time management skills.
- Excellent written and verbal communication abilities.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and scheduling tools.
- Professional, composed, and trustworthy demeanour.
- Confidentiality and sound judgment.
- Exceptional organizational and planning skills.
- Strong interpersonal and communication abilities.
- Attention to detail and accuracy.
- Initiative and ability to work independently.
- Maturity, professionalism, and emotional intelligence.
- Ability to represent the CEO and the institution with diplomacy and tact.
