REPORTS TO: Administration Director
JOB SUMMARY
The Finance & Administration Assistant is a dual-support role responsible for assisting both the Finance Director and the Administration Director in the smooth and efficient running of financial and administrative operations. This role requires a detail-oriented, proactive individual with excellent organizational skills and a strong sense of integrity.
ABOUT EVERY LIFE
Every Life Uganda is a registered charity working (in partnership with Every Life International) to bring lasting transformation in slums across Kampala by providing both short-term support and long-term development through Christian discipleship.
KEY RESPONSIBILITIES
Finance Support (Reporting to the Finance Director)
• Assist with daily financial record-keeping, including data entry, filing, and documentation.
• Support the preparation of monthly, quarterly, and annual financial reports.
• Liaise with Team Leaders, ensuring monthly requests are submitted on time.
• Support Team Leaders in monitoring of programme budgets.
• Help maintain accurate ledgers, receipts, and expense records.
• Assist in reconciling bank statements and cashbooks.
• Ensure sign-out procedures of money and assets are correctly followed.
• Prepare payment vouchers, staff reimbursements, and petty cash transactions.
• Support in the paying of salaries and associated costs (e.g. NSSF) on time.
• Ensure compliance with internal financial procedures and donor requirements.
• Assist during audits by compiling and organizing necessary documentation.
Administration Support (Reporting to the Administration Director)
• Support general office management, including inventory and supplies tracking.
• Supporting in legal admin duties such as filing permits, submitting returns on time (NGO Bureau, URSB), updating portals (PDPO, Post Office, etc).
• Assist in paying bills as required.
• Assist in scheduling meetings, preparing agendas, and taking minutes.
• Maintain up-to-date administrative records and filing systems.
• Help coordinate logistics for staff travel, trainings, and events.
• Support HR functions e.g. leave tracking, onboarding, document management.
• Assist with procurement processes and ensure accurate record-keeping.
Minimum Qualification
• Bachelor’s degree in either Finance and Accounting or Business Administration.
• Professional qualification up to at least ACCA, CPA Level 2 or Full Professional qualification in Accounting.
Experience
• At least 2 years in a similar role
Functional Competencies (e.g. knowledge, skills, understanding, abilities…)
• English language proficiency
• Basic understanding of financial and administrative procedures.
• Strong computer skills, (Microsoft Excel and Word, Google Sheets and Docs.)
• Familiarity with accounting software (e.g., QuickBooks) is an advantage.
• Excellent organizational and time-management skills.
• Excellent interpersonal and communication skills.
• High level of accuracy, integrity, and discretion.
• Experience in conflict, mediation, and negotiation.
Company Specific Requirements
• Attend team meetings and events as requested
• Agree to and abide by all Every Life policies
• Be comfortable going into slum communities where we work from time to time
• As a Christian organization, we expect all staff to contribute to and lead when asked in bible-studies, times of worship, and other Christian-related activities. As such, you would need to have a strong and active relationship with Jesus.
