As we continue to grow and expand across East Africa, we are looking for highly motivated, skilled, and detail-oriented individuals to fill the role of Human Resource Assistant (HRA) at our Head Office in Nalukolongo.

KEY RESPONSIBILITIES

Attendance & Timekeeping
• Assist in maintaining and updating daily attendance records for all permanent and casual staff, ensuring accuracy in time-in, time-out, overtime, and shift rotations.
• Prepare and submit detailed daily, weekly, and monthly attendance reports, analyzing trends such as absenteeism, punctuality, overtime hours, and irregular patterns.
• Monitor lateness, absenteeism, and overtime occurrences and escalate repeated or serious issues to supervisors and HR management for corrective action.
• Track probationary staff, contract renewals, and confirmations to ensure no lapses in employment contracts.
• Collaborate with departmental heads to resolve anomalies in attendance records, including unapproved absences, missing entries, and system discrepancies.

Casual Wage Management & Payroll Support
• Collect and reconcile casual staff attendance sheets weekly, ensuring accuracy and consistency with shift schedules.
• Assist in preparing and validating casual wage computations, including basic pay, overtime, and bonuses, and submit for Accounts’ processing.
• Support monthly payroll preparation, ensuring accurate calculation of salaries, allowances, overtime, deductions, and bonuses.
• Process and remit statutory deductions such as NSSF, PAYE, Local Service Tax, and Workers’ Compensation.
• Handle staff payroll inquiries with professionalism, maintaining confidentiality and providing clear guidance.

Recruitment & Onboarding
• Assist in drafting job advertisements, screening CVs, shortlisting candidates, and scheduling interviews while keeping candidates informed.
• Conduct reference checks, credential verification, and medical clearance to ensure compliance and suitability for the role.
• Draft offer letters, contracts, probation agreements, and renewal letters for new employees.
• Facilitate induction and orientation programs, introducing new hires to company culture, HR policies, safety regulations, and departmental teams.
• Support recruitment logistics such as coordinating interview panels and maintaining candidate documentation.

Employee Records Management, Filing & Documentation
• Maintain comprehensive HR files (both physical and digital), ensuring they are complete, updated, and easily retrievable.
• Ensure confidentiality in handling sensitive employee information such as contracts, IDs, disciplinary records, and performance appraisals.
• Conduct regular HR file audits to ensure compliance with company standards and statutory requirements.
• Assist in digitizing records using the Mermidon HRIS system for easy access, security, and reporting.
• Archive inactive files while ensuring retrieval for audits, legal cases, or future HR reference.

Leave & Exit Administration
• Assist in managing leave applications, approvals, and tracking of leave balances.
• Provide accurate leave reports to payroll and departmental managers for proper workforce planning.
• Support exit clearance processes, including final dues computation, recovery of company property, and preparation of clearance forms.
• Conduct and document exit interviews, capturing feedback, resignation reasons, and improvement suggestions.
• Maintain records of resignations, terminations, retirements, and redundancies, ensuring compliance with labor laws.

Disciplinary Procedures & Performance Monitoring
• Draft and issue disciplinary notices, warnings, and show-cause letters following company policy.
• Assist in organizing and documenting disciplinary hearings, taking minutes, and recording outcomes.
• Ensure compliance with the HR Manual and Ugandan Employment Act, guaranteeing fair and lawful processes.
• Track performance appraisals, collecting data and preparing performance reports for management.
• Report cases of underperformance, absenteeism, and misconduct to supervisors for appropriate action.

Employee Relations & Staff Welfare
• Act as the first point of contact for grievances, welfare concerns, and HR inquiries.
• Provide guidance on HR policies, benefits, and entitlements, helping staff understand their rights and responsibilities.
• Support conflict resolution and mediation efforts to maintain a harmonious work environment.
• Organize welfare activities, including team-building events, health talks, wellness programs, and recognition ceremonies.
• Promote an inclusive and positive workplace culture through communication, engagement, and morale-boosting initiatives.

Compliance, Training & Reporting
• Ensure compliance with Ugandan labor laws, occupational safety standards, and internal company policies.
• Assist in coordinating training programs, workshops, and refresher sessions, ensuring staff skill development and legal compliance.
• Prepare HR reports on headcount, turnover, absenteeism, disciplinary cases, and recruitment metrics for management review.
• Provide accurate HR data for internal audits, statutory audits, and external inspections.
• Contribute to continuous improvement in HR processes by analyzing HR metrics and recommending policy or system enhancements.

Minimum Qualifications & Experience
• Bachelor’s Degree in Human Resource Management, Business Administration (HR option), or related field.
• At least 1–2 years of practical HR experience, preferably in a manufacturing or industrial environment.
• Knowledge of Ugandan labor laws, industrial relations, and employee grievance handling.
• Experience with HRIS systems, such as Mermidon.
• Proven experience in payroll support, employee onboarding, and disciplinary processes.
