The Key Purpose of this role is to ensure that all governance processes and documentation are followed and completed to ensure that all physical movement of inventory is correctly reflected in Syspro, this includes but are not limited to raw materials, finished goods, containers and spares.

Key Roles and Responsibilities:

Inventory reporting

  • Adhere to all physical pre-stock stake processes
  • Compile daily/weekly/monthly stock take pack and have this signed off by all relevant parties
  • Ensure all known adjustments are done prior to stock count
  • Ensure that the GIT account is clean prior start of any stock count and or any valid entries are signed off by relevant departmental managers
  • Report monthly noncompliance of the Inventory Policy and ensure actions are identified and closed in order to improve adherence
  • Facilitate and participate in daily/weekly/monthly stock counts of all raw materials, finished goods, empties and spares
  • Ensure stock counts are conducted according to company standards and procedures and ad-hoc where we have unresolved variances
  • Ensure that Digital journey stock master devices are set up correctly and maintained accordingly and track system usage (e.g., handheld devices, stock variance reports)
  • Coordinate and track training on inventory policies, SOPs, and control routines.

Bottle loss management

  • Ensure the MBFU portal is updated daily
  • Participate in the weekly process of FRI capture in the portal
  • Audit compliance with inventory management routines, including stock recons, counts, Stock loss investigations, MBFU & BITs management and recharge process, bottle loss, RTI and Time in Trade management and aging POs/GRNs tracking.

SCOH Management

  • Support KPI management, with a focus on inventory-related issues such as proper reconciliation of driver balances.
  • Monitor ERP (e.g., Syspro, SAP) data integrity, ensuring that all inventory movements are accurately captured and reconciled.
  • Track and report daily all inventory in the Z warehouse and X warehouses
  • Review all GL codes daily and ensure losses are posted on the right GLS
  • Print stock variance report daily and investigate all variances
  • Monitor and report on adherence to Minimum Internal Controls (MICs) across all inventory processes

Shipment reconciliations

  • Update the gate-to-gate report daily and escalate any delayed shipments and delayed captures
  • Assist with resolving and correcting invoice queries
  • Follow up on all T1 GIT shipments if not received escalate the overdue T1 GITS
  • Ensure recharges for breakages and missing bottles are done in time and in the right accounts
  • Track and resolve customer complaints and ensure they are closed within a specified time frame

Packaging Interface

  • Balance daily with packaging team on all inventory given to packaging team and received from them
  • Balance cullet with packaging weekly
  • Reconciliation of issued containers vs packed volumes

Distributor stock management

  • Ensure missing, broken and foreign surveys are conducted according to policy
  • Ensure this survey results are captured daily into the survey sheet
  • Communicate missing, foreign and broken bottles to the customers and ensure the customer are charged for this
  • Verify daily that all returns are credited correctly and that inventory levels reflect returns, both pallets and returnable glass
  • File the daily reconciliation report and ensure is signed off by the inventory controller /Analyst  

Fuel reconciliations

  • Capture fuel usages
  • Raise purchase orders
  • Ensure all invoice queries are resolved
  • Participate in the daily stock take of fuel

Maintain product quality

  • Ensure FEFO principle is applied to stock movements by printing bin pulling sheets for warehouse
  • Ensure adherence to stock age policy by raising all concessions and getting the necessary approvals
  • Full adherence to product recall policy
  • Ensure blocked stock is physically isolated and blocked in the system in order to stop orders from being placed
  • Weekly meetings with Trade Quality Specialist on quality issues in trade
  • Analyse customer feedback, create and close actions

DPO/VPO

  • Ensure the inventory management block in Logistics pillar is adhered to
  • Participate in the VPO /DPO routines and audits

Key Attributes and Competencies:

  • High level of computer literacy (MS Office,, Excell, SAP , Syspro ,  Teams, etc.)
  • Numerical capabilities especially around reconciliations
  • Good verbal and written communication skills with good interpersonal skills
  • Detail oriented
  • Team player

Minimum Requirements:

  • Bachelor’s degree in, Finance or Bachelor of Commerce in Supply Chain, Economics, IT, Accounting Science, business administration
  • 3-5 Years experience in logistics and supply chain management and finance background
  • 2 to 3 years’ experience in warehousing and inventory management
