JOB DETAILS:
Responsibilities
• Acting as second-in-command to the Director, Manager, Finance and Admin, and taking care of all duties in any of their absence.
• Assisting the Director, Manager, Finance and Admin with operational issues.
• Assisting in keeping track of an organisation’s finances by entering data into databases.
• Assisting in processing the invoices, and supporting other employees throughout any accounting processes with the help of the Finance officer.
• Scheduling meetings and team-building sessions as required.
• Promptly answering the questions of staff and other stakeholders.
• Providing excellent customer service and maintaining relationships with vendors.
• Preparing and filing forms and other documents.
• Assisting with recruitment and onboarding processes.
• Taking inventory and ordering office supplies as needed.
• Updating logs and order forms.
• Analysing all operations and forwarding suggestions for improvement to the technical team.
Ensure administrative tasks are completed

Requirements
• High school diploma in Business Administration, Public Administration, Finance, HR, or a related field.
• Minimum of 2 years of relevant experience at the national or international level in supporting the staff and operational systems.
• A relevant certificate may be required.
• Previous experience in a similar role.
• Additional courses in Business Writing and Elocution are advantageous.
• Excellent written and verbal communication skills.
• Superb organisational skills.
• Outstanding interpersonal skills.
• Willingness to learn.
• Experience in teamwork is an asset
• Professional background in programming/project management is desirable.
• Willingness and ability to relocate to Moroto or Karenga town in Uganda’s Karamoja sub-region.

Duties and responsibilities:
Key Performance Indicators
The key results have an impact on the overall effectiveness of KTF Regional Program implementation and the efficiency and effectiveness of the use of corporate resources, human, financial and material and the safety of staff and assets of KTF. The key results also impact the image of the organisation and its ability to deliver on its mandate.
• All services are provided in compliance with KTF rules, regulations and policies
• Finances are properly identified and on time
• Timely recruitment, and accurate implementation of procurement contracts.
