Job Summary:
The Personal Assistant (PA) provides high-level administrative support to the General Manager (GM) of a prestigious 5-star hotel in Kampala. The PA ensures efficient and effective operations of the Executive Office by managing schedules, communications, and confidential matters with utmost professionalism and discretion. The ideal candidate should exhibit strong organizational skills, hospitality awareness, and the ability to multitask in a dynamic luxury hotel environment.
Key Responsibilities:
- Executive Support:
- Manage the GM’s calendar, appointments, and meetings.
- Organize internal and external meetings, prepare agendas, and take minutes.
- Liaise with department heads, hotel guests, stakeholders, and external partners.
- Communication Management:
- Screen calls, emails, and correspondence, ensuring prompt and professional responses.
- Draft letters, memos, and reports on behalf of the GM.
- Serve as the point of contact between the GM and hotel management staff.
- Travel & Hospitality Coordination:
- Arrange travel itineraries, visa processing, and accommodation for the GM.
- Coordinate VIP guest arrivals and events when required.
- Confidentiality & Discretion:
- Maintain confidentiality of sensitive information and documents.
- Handle confidential files, HR correspondence, and performance reports.
- Office Administration:
- Maintain filing systems (electronic and hard copy).
- Monitor office supplies and handle procurement requests for the Executive Office.
- Follow up on tasks assigned by the GM to ensure timely execution by departments.
- Event Support:
- Assist in organizing executive events, conferences, and staff functions.
- Attend events when needed to ensure smooth coordination and representation of the GM.
Key Qualifications & Experience:
- Bachelor’s degree in Business Administration, Hospitality Management, or related field.
- At least 3–5 years of proven experience as a PA or Executive Assistant, preferably in a luxury hotel or hospitality environment.
- Excellent written and verbal communication skills in English.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and time management skills.
- Discretion, loyalty, and the ability to handle high-pressure situations with professionalism.
Desirable Traits:
- Highly polished and presentable.
- Proactive, with a service-driven attitude.
- Culturally sensitive and emotionally intelligent.
