JOB PURPOSE

To provide Secretarial, administrative and office managerial services in the Financial Intelligence Authority.

KEY DUTIES AND RESPONSIBILITIES

i. Receive, open, sort, screen and prioritize all incoming written correspondence for each department/division to ensure distribution and follow up on any responses if required

ii. Create and maintain a filing system for all documents (soft copy and hard copy) that enables easy retrieval as and when required

iii. Deal with telephone and email enquiries and direct to the appropriate office;

iv. Create and maintain an up-to-date contact list for all departments

v. Schedule meetings both internal and external for the different departments when required

vi. Organise staff meetings, and maintain a formal record of the meetings;

vii. Perform typing duties on behalf of the Authority (ED, Deputy ED and Commissioners);

viii. Maintain stationery and equipment for the secretarial area

ix. Photocopy and print various documents, sometimes on behalf of staff members if and when required

PERSON SPECIFICATIONS

A. Qualifications:

i. Honors Bachelor’s Degree in Secretarial Studies/ Business Management, Business Administration or any other related degree from a recognized University/institution

B. Experience

i. No experience required 

C. Competencies:

i. Knowledge and ability to understand the Authority’s vision, mission and Objectives;

ii. Ability to handle sensitive information and maintain confidentiality.

iii. Should possess values of the Authority which include; integrity, confidentiality, Accountability, professionalism.

iv. Good communication skills both verbal and written;

v. Customer service skills;

vi. Planning, Organizing and Coordination skills;

vii. Record keeping and Information Management skills;

viii. Ability to prioritize tasks, manage workload and can multitask;

ix. Works well independently and as part of a team;
