The Senior Inventory Officer is a newly established support role within the Inventory and Stores Section, which sits under the broader Logistics and Production Department. This role serves as the analytical, compliance, and coordination hub for materials management operations. Working directly with the Head of Inventory and Stores, the post holder provides intelligence and oversight across the operational arms, identifying process gaps, ensuring compliance with policies and systems, and delivering targeted improvement projects. This role provides the analytical, and compliance oversight that enables the operational teams to perform effectively.
Key Responsibilities
Materials Analysis & Planning Support
- Analyze and consolidate materials demand from all user departments across the business.
- Develop and maintain accurate demand forecasts to inform supply chain planning.
- Prepare consolidated materials plans to support the Procurement Department in timely and accurate procurement decisions.
Inventory & Stores Coordination
- Coordinate the scheduling of incoming materials from suppliers to the central store and outbound distribution to regional stores.
- Work with the transport department to optimize materials scheduling and movement across the network.
- Liaise with the Central Store Manager and Regional Stores Manager to ensure alignment on inventory scheduling and distribution plans without overlapping into their operational mandates.
- Coordinate with transport operators and logistics partners to support seamless materials flow.
Analytics & Performance Monitoring
- Lead data analytics activities to monitor inventory levels, movement trends, and supply chain performance across all locations.
- Interpret complex data sets and translate them into clear, actionable insights and boardroom-ready decision points for senior management.
- Analyze transactional accuracy within the SAP system to identify anomalies and areas for improvement.
- Monitor outbound schedule adherence and provide insights on performance variances.
- Prepare regular performance reports and dashboards for the Head of Inventory and Stores.
Compliance & Systems Monitoring
- Support accurate and effective daily, monthly, and annual stock takes and reconciliations across all stores.
- Review Monthly reconciliations between physical and book stocks and investigate variances with responsible managers & officers.
- Escalate material losses and significant variances to the Head of Inventory and Stores.
- Monitor compliance with materials management policies and procedures across both operational arms.
- Ensure correct usage of the SAP system and transactional integrity across all stores and departments.
- Conduct spot checks on stocks and processes to verify adherence to approved procedures.
- Monitor supplier delivery schedule adherence and feed findings into supplier performance conversations.
- Share monthly compliance reports with the Head of Inventory and Stores.
- Support internal audits and respond to compliance findings as required.
Process Gap Identification & Improvement Projects
- Identify process gaps and inefficiencies within the Central and Regional Stores operations.
- Support the Central Store Manager and Regional Stores Manager in developing and implementing process improvements.
- Lead or support special improvement projects that drive operational efficiency and value across inventory and stores functions.
- Identify and evaluate new sources of value and opportunities for improvement.
Risk Management & Controls
- Manage and monitor risk metrics for inventory and stores operations.
- Identify and evaluate controls in existing and new projects to ensure improved value and operational efficiency.
- Advise the Head of Inventory and Stores on required mitigations for identified risks.
- Build team understanding of key controls, systems functionality, and integration across the business.
Capability Building & Team Support
- Partner with the Head of Inventory and Stores in designing and delivering key training Programmes for the broader inventory and stores team.
- Advise on training needs related to systems usage, compliance requirements, controls, and operational procedures.
- Support the team in understanding value drivers and control mechanisms.
- Identify skill and capability gaps and recommend targeted interventions.
Team Leadership & Coordination
- Provide day-to-day supervision and guidance to the Materials Planner and inventory coordinators.
- Set performance targets for direct reports and conduct regular performance reviews.
- Build team capacity through coaching and on-the-job development.
- Maintain strong collaborative relationships with the Central Store Manager and Regional Stores Manager whilst providing independent oversight and analysis.
Required Qualifications
- Bachelor's degree in mathematics, Supply Chain Management, Engineering, Logistics, Finance, Statistics, or a related field.
- Postgraduate qualification in Supply Chain Management, business or related field desirable.
- Membership of an accredited professional supply chain management body such as CIPS, CILT etc. - a must.
Required Experience
- Minimum of 5 years of relevant experience in Stores/materials management and planning.
- Minimum of 2 years of experience at supervisory level.
- Demonstrated experience with enterprise resource planning systems, specifically SAP desirable.
- Experience in the utilities or energy sector is desirable.
Key Competencies
- Advanced data analytics skills with proven ability to interpret complex data sets and translate them into strategic insights and boardroom-ready decision points.
- Advanced Microsoft Excel user with strong proficiency in data manipulation and analysis.
- Advanced Power BI user with ability to create dashboards and visualizations for decision-making.
- SAP super user with deep knowledge of materials management modules and transactional accuracy.
- Excellent written and verbal communication skills, capable of presenting to higher levels of management.

UEDCL owns the 33KV and below voltage electricity distribution networks. The company sales and distributes electricity in Uganda as per ERA License issued on 31 December 2024 covering over 135 political districts, operates a modern pole plant at Lugogo, and executes key rural electrification schemes on behalf of the Government of Uganda.
