As the Administration/Finance Assistant you are responsible for providing efficient and effective support in the administration of office and project activities of the Physiotherapy project. Responsibilities:

• Ensures transactions associated with the project/organisation and expense claims are made according to policies and procedures

• Submit weekly, monthly, and quarterly comprehensive finance reports.

• Ensures full compliance with Uganda tax laws and good accounting practices regarding financial activities during project implementation.

• Supports the budgeting and general financial management processes, ensuring resources are well-managed.

• Facilitate accountability by ensuring project staff raise requisitions and account for all expenses.

• Ensures Project incomes are received and accurately recorded, ensuring that documentation is filed and retrievable

• Expense tracking and reconciliations

• Collection of membership fees

• Participate in proposal development and donor reporting.

• Support logistics procedures and ensure that all documents are filled out according to the procurement regulations.

• Act as a focal point for receiving all visitors, guests and suppliers, ensure they are briefed and attended to

• Manage office correspondences and maintain a tracking and record keeping system for all incoming and outgoing correspondences

• Manage the telephone, website and email correspondences and ensure to forward them to the right personnel

• Administration of the Membership Data Base

• Registration of new members

• Updating of personal details and status of existing members

• Information sharing and liaison with members.

• Assist the executive committee in event planning, Coordination with Partners involved in the event, Invitation Management, Design and Delivery,

• Reporting on events and outcomes.

• Perform other duties that may be required by UAP executive in line with the Project.

Qualifications and experience:

• A diploma in accounting, Business Administration, or any related field.

• This is an entry level position

• Should have a clear understanding of finance ethics and donor compliance

• Strong organizational skills; computer literate with hands on MS Office programs, especially in MS Excel.

• A demonstrated ability to multi-task and process information into action as to not delay program activities.

• Knowledge on report writing.

• Fluency in English. Conditions:

• Starting date: Immediately

• Duty Station: Kampala, Uganda

• Duration of contract: 1 year with possible extension subject to donor funding.

• Salary: Gross monthly pay of UGX 1,650,000 and payment of GPA cover. Health insurance is not currently provided.
