Basic Function (Summary of the Function)

The Office Attendant provides general office support services to ensure a clean, orderly, and efficient working environment. The role supports day-to-day administrative operations through cleaning, messenger services, and basic office assistance.

Duties and Responsibilities

1. Office Support and Cleanliness

  • Clean and maintain offices, corridors, meeting rooms, washrooms, and common areas to acceptable hygiene and safety standards.
  • Ensure offices are properly arranged, including furniture, equipment, and supplies.
  • Open and close offices as required and ensure lights out and that equipment are properly handled.

2. Hospitality, and Meeting Support

  • Prepare and serve tea, refreshments, and water to staff and visitors as required.
  • Support meetings, workshops, and official functions by setting up venues and providing hospitality services.

3. Messenger and Errand Services

  • Deliver and collect documents, mail, and parcels within and outside the organization as assigned.
  • Assist with basic photocopying, proper filing, and movement of office items.
  • Manage office records in a secure and confidential manner.
  • Assist with retrieval of office records as necessary.

4. Stores and Supplies Support

  • Assist in monitoring office supplies and report low stock levels to the supervisor.
  • Support proper storage and safe handling of office equipment and consumables.

5. Safety, Conduct, and Compliance

  • Observe safety, security, and hygiene standards at all times.
  • Maintain confidentiality, professionalism, and respectful conduct in the workplace.
  • Perform any other duties as may be assigned by the supervisor.

Supervision Received: Works under the direct supervision of the Senior Executive Assistant or assigned or designated supervisor.

Supervision Exercised: None.

Education Requirements:

  • Minimum of Uganda Certificate of Education (UCE).
  • Possession of driving permit with a Class A

Experience:

A minimum of 3 years’ experience in office support, cleaning, or messenger services is required.

Knowledge and Skills:

  • Computer literacy is a must
  • Basic knowledge of office hygiene and safety practices
  • Ability to follow instructions and work independently
  • Good interpersonal and communication skills
  • High level of integrity, discipline, and reliability

Physical Demands: Requires standing, walking, lifting light office items, and general physical activity.

Travel Requirements: Occasional local travel for official errands and deliveries.
