We are looking for a competent, skilled, and experienced Project Coordinator based in Uganda.

OBJECTIVE OF THE POSITION

The project coordinator in Uganda will support the project manager in Kenya and the Orana Projects team in planning, organizing and executing projects by handling administrative tasks, coordinating communication, and ensuring the project stays on track and ensuring everything runs smoothly and efficiently. Moreover, the project coordinator will be responsible for the Uganda office.

DUTIES & RESPONSIBILITIES

1. Administrative Support and Communication

  • Responsibility for the Uganda office
  • Perform general administrative tasks such as ordering supplies and managing office organization.
  • Arrange visits in Uganda from Orana Project team members and OFFPC team members hereunder booking hotel, arranging car, arranging meetings, etc.

2. Project related tasks

  • Act as a support for the Project Manager for all Orana projects in Uganda
  • Act as a liaison between the project manager, team members, and stakeholders.
  • Schedule stakeholder meetings, document and generate reports.
  • Manage budgets, track expenses and handle financial queries in co-operation with the finance department in Kenya.
  • Communicate project updates, progress and any issues to relevant stakeholders.

3. Coordination

  • Coordinate allocation of project resources to ensure the project team has what’s needed at the right time.
  • Foster cross-team collaboration to help project team members complete project tasks and produce deliverables.

4. Task Management

  • Assign tasks to team members and help them understand what’s expected from them in terms of project milestones and deliverables.
  • Monitor team performance and handle issues as they arise.

5. Documentation and filing

  • Assist in the development of project management documents such as project budgets, project schedules, scope statements and project plans.
  • Execute project management administrative and bookkeeping tasks such as managing invoices, purchase orders and inventory reports, among other financial documents.
  • Supervise the project procurement process.

Requirements

QUALIFICATIONS

Education:

  • A bachelor’s degree in Business Administration or Project Management or any business related field.

Experience:

  • 3 years’ experience in project coordination and / or administrational tasks.

Other skills:

  • Excellent written and verbal communication skills
  • English at a high level, written and spoken
  • Good organizational and time management skills.
  • Ability to guide other individuals.
  • Problem-solving and IT proficient
  • Responsibility for the Uganda office
